Innatify reduces administrative pressure in healthcare sector
Administrative overload in replacements costs healthcare billions in time and resources

Brussels, 16 July 2025 - Innatify, a Belgian healthtech start-up supported by Start it @KBC, is introducing a smart planning tool that aims to boost job satisfaction and significantly simplify the administration around replacing healthcare staff in hospitals. Knowing that Belgian healthcare providers spend up to 40 per cent of their time on paperwork, accounting for an annual cost of more than a billion euros, Innatify wants to help bring the sector back to its essence: time for optimal patient care.
The pressure on the healthcare sector is high. Staff shortages, burn-outs and rising costs are putting pressure on hospitals and other healthcare institutions. At the same time, healthcare providers spend up to 40 per cent of their time on administrative tasks. For nurse management, one of the major daily administrative burdens is constantly rescheduling duty rosters in case of illness, absence of healthcare staff or increased patient demand.
‘Arranging replacements is complex, especially when external care providers need to be brought in and additional billing and contract follow-up is required,’ knows Scott Russell, founder of Innatify. ‘This excessive drain on resources is not only inefficient, but also a major source of frustration and exhaustion. When I saw how much administrative work my sister - an experienced nurse - is forced to do every day, I knew things had to change. By reducing that burden, we can not only help increase space for actual care, but also retain staff by reducing burnout and increasing job satisfaction.’
Qualifications and limitations
Innatify therefore developed a platform that automatically identifies which departments need reinforcement, which caregivers are available internally and externally, and what qualifications or limitations are involved. Based on this data, the tool generates a real-time overview of the most suitable replacement candidates, providing a clear rationale for each match while optimising replacements to balance staff preferences with hospital demand. This saves head nurses considerable time and frustration, allowing them to focus on supporting their clinical teams and providing leadership, as they no longer have the administrative burden caused by Excel files, emails, and phone calls. Communication with substitutes, administrative processing and regulatory reporting requirements are also handled efficiently and largely automatically.

Innatify's innovative technology is the result of more than 700 interviews and thousands of hours of analysis in seven countries. With the support of Start it @KBC, VLAIO and vzw Europa Ziekenhuizen, the start-up aims to further tailor the platform to the needs of the sector and put it firmly on the map both at home and abroad.
